Definition: What is a franking machine?
A franking machine (also a mail processing system or franking system) is a device that calculates the postage for letters and other mail items and prints it as a franking mark on the item. Unlike a classic postage stamp, the postage is not “stuck on” but recorded digitally and billed directly through the system.
Franking machines help send mail faster, calculate postage correctly, and document expenses in a traceable way.
How does franking work?
At its core, the process always works in a similar way: you place a mail item on the system (or feed it in), the system determines the appropriate postage (e.g. based on weight and shipping method) and then prints the franking mark. Modern systems also offer functions such as cost centers, shipping statistics, and simple postage updates.
1) Determine postage
Select weight, shipping method and, if applicable, additional services – manually or automatically via scale/feeder.
2) Print franking mark
The system prints the postage imprint directly onto the envelope or a label – cleanly and reproducibly.
3) Top up & update postage
Postage credit and postage tables can usually be updated conveniently.
4) Evaluate & assign
Depending on the model: cost centers, reports, export – helpful for controlling and accounting.
What benefits does this bring in everyday life?
Whether in a small office or with high mailing volumes: franking machines can significantly simplify mail processes. Time savings, cost control, and a professional mailing appearance are especially relevant.
- Efficiency: frank mail faster, with fewer manual steps.
- Postage accuracy: fewer incorrect frankings thanks to support for weight/shipping method.
- Transparency: expenses can be traced (e.g. by cost center).
- Professionalism: uniform imprint, optionally with advertising cliché.
What should you look for when making your selection?
The decisive factors are above all your mailing volume, the functions you want, and the service and financing models. The higher the daily volume, the more important things like fast feeding, robust printing systems, and reporting become.
Write down 3 things: (1) letters per day, (2) typical mail types, (3) need for reporting/cost centers. This quickly narrows down the model selection.
Guidance: Which FP devices typically suit which needs?
- Small volume: compact models for a few letters/day (e.g. entry-level solutions).
- Growing volume: systems with more convenience (scale, faster franking, reports).
- High volume: high-performance systems with high throughput and advanced analytics.
